1You

Set what you need

Start from seven common requirements (insurance, clearance letters, licences, agreements) and adjust them per trade, with a minimum coverage and expiry.

2Your subs

Each sub gets a private link listing what is missing or expiring. They take a photo or pick a PDF and type the expiry date and coverage.

3Your office

Review and stay cleared

Security

Certificates and IDs, kept private.

Sub files hold policies, licences and contact details. Here's how we keep them safe.

Every company kept separateEach company's subs, documents and projects are isolated in the database, and every request is checked against your company and your role.
Subs see only their own listA sub's link shows what you need from them and nothing else. Make a new link and the old one stops working; an inactive sub's link doesn't work.
Private document storeAll traffic runs over HTTPS. Files sit in a private store no browser can read directly, and open only through 10-minute links.
Every version keptEach document keeps every past version, who uploaded it and who reviewed it, so you can show what was on file and when.
FAQ

Questions contractors ask

What counts as cleared?

A sub is cleared when every document their trades need is approved, not expired, and meets your minimum coverage. Expiring soon means cleared, but something runs out within your window (30 days to start). Anything missing or expired means not cleared.

Do subs need an account?

No. Each sub has a private link that lists what you need from them. They take a photo or pick a PDF and type the expiry date, coverage and policy number. Uploads wait for your review: approve (and correct what they typed if needed) or reject with a reason they see on their link. A new link stops the old one working.

Which documents can I track?

You start with seven: general liability certificate, WorkSafeBC clearance letter, auto insurance, trade licence, business licence, signed subcontract agreement and safety program. All of them are editable, so rename them for your province, set which trades need what, the minimum coverage and how long each is usually good for.

Does it send reminders before something expires?

Not yet. Today and the sub list show what is expiring, and “Email it” opens your own email with a message listing what is missing or expiring. Scheduled reminder emails are next.

Can I show an owner or inspector who is on site?

Yes. Each project lists its subs with a warning on anyone not cleared, and prints a sub compliance report with your logo.

Does it read the certificate for me?

Not yet. The sub, or your office when reviewing, types the expiry date and coverage. Reading them off the certificate automatically is on the roadmap.
