What you need
- Your sub list in a spreadsheet: company, trade, contact name, email and phone
- What your contracts require: minimum liability coverage, workers' compensation clearance, licences and agreements
- Any certificates you already have on file, with their expiry dates
1. Sign in and check your settings
Sign in at subs.nvisin.app with the email you signed up with. Open Settings (the gear) to upload your logo and add your business details, the intro subs see on their link, how many days ahead "expiring soon" starts (30 to start) and your list of trades. Invite your team under Users.
2. Check your requirements
Seven common requirements are set up under Requirements: general liability certificate, WorkSafeBC clearance letter, auto insurance, trade licence, business licence, signed subcontract agreement and safety program. Rename or change them to match your contracts and province: which trades need each one, whether it expires and how long it's usually good for, and a minimum coverage for insurance.
3. Add your subs
On Subcontractors, click Paste a list and paste rows from your spreadsheet, one sub per line: company, trade, contact name, email, phone, address. Or add them one at a time. Each sub's page lists every document their trades need and its status.
4. Send each sub their link
On a sub's page, copy their request link or click Email it, which opens your email with a message listing what's missing or expiring. The sub opens the link on their phone with no account, takes a photo or picks a PDF, and types the expiry date, coverage and policy number. You can also upload documents you already have yourself.
5. Review uploads and keep projects cleared
Uploads wait under Waiting for review on Today. Approve (correcting anything they typed if needed) or Reject with a reason the sub sees on their link. Add your jobs under Projects with the subs on each; anyone not cleared is flagged, and each project prints a sub compliance report with your logo.
Common questions
When is a sub "cleared"?
When every document their trades need is approved, not expired, and meets your minimum coverage.
A link was sent to the wrong person. What do I do?
Click New link on the sub's page. The old link stops working at once.
