How it works

Every machine, serviced on time.

1You

Add your fleet

Paste your equipment list from a spreadsheet, then set each machine’s services: every so many hours, kilometres or days, whichever comes first.

2Your crew

Inspect on a phone

Pick the machine and a checklist, pass or fail each item and record the meter. A failed check opens a work order and can mark the machine down.

3Your shop

Close the work order

Record the work done, the hours, parts and cost. A service work order marks that service done, so the next one is counted from there.

Security

Your fleet records, kept safe.

Maintenance Manager holds your machines, inspections and repair costs. Here's how we keep them safe.

Every company kept separateEach company's machines, inspections and work orders are isolated in the database, and every request is checked against your company and your role.
Encrypted everywhereAll traffic runs over HTTPS, and stored data is encrypted at rest.
Roles for your teamOwner, staff and view-only access. Staff inspect and run work orders; only owners change settings or delete machines, work orders and inspections.
Daily backupsThe whole database is backed up every day, and meter readings can never be lowered by mistake, only corrected by an owner.
FAQ

Questions fleet owners ask

Who is Maintenance Manager for?

Equipment rental yards, contractors and anyone with machines, trucks, trailers, lifts or generators to keep serviced and inspected, from a handful of units to a few hundred.

How does it know when service is due?

Each machine has its services, set every so many hours, kilometres or days, whichever comes first. Meter readings come in with each inspection or by hand, and Today shows what is overdue and what is due soon. With a few weeks of readings, an hours-based service also shows roughly what date it will fall on.

Can my crew do inspections on a phone?

Yes. Pick the machine and a checklist, mark each item pass, fail or N/A, and add a note on anything that fails. New accounts start with four checklists you can edit: heavy equipment pre-use, aerial lift, truck and trailer pre-trip, and return from rental. Each inspection prints or saves as a PDF.

What happens when a check fails?

You can open one work order listing the failed items and mark the machine down until it is fixed. The work order moves from open to in progress, waiting on parts and done, and records the work, hours and cost. A service work order marks that service done.

Can I add photos to inspections?

Not yet. Photos on inspections and work orders are next on the list. For now, failed items carry a written note.

Does it work with Rental Manager or Job Manager?

Not yet. Linking them is planned: a rental return starting the return check, a down machine that can’t be rented, and job hours adding to a machine’s meter.

Who it's for

Who uses Maintenance Manager

crane and equipment rental companies

Hour meters, service intervals and pre-use checks on every machine, so nothing goes out on rent overdue for service.

Starter checklists for daily heavy-equipment checks, aerial lift pre-starts, going out on rental and coming back, and generators and light towers. A failed check opens a work order and can mark the machine down so it doesn't go back out.

trucking companies

Daily pre-trip checks and service by kilometres or miles for every tractor, straight truck and trailer.

Starter checklists for the truck pre-trip, trailer pre-trip, post-trip report and reefer units, filled out on a phone. Each service is due by distance or days, whichever comes first.

fleet managers

Service intervals and inspections for every truck and van, with a work order opened when a check fails.

Pickups, service vans and company cars get monthly inspections and weekly van checks, with ladders and test equipment on their own checklist.

manufacturers and fabricators

Keep presses, saws and forklifts on schedule, and take a machine out of service until it's fixed.

Daily checklists for forklifts, machine start-up, overhead cranes and hoists, and welding and cutting gear. Machines are serviced by hours run, and every work order records the work, hours and cost.

facility maintenance companies

Inspections and work orders for every boiler, generator and lift you look after.

Track HVAC units, boilers, water heaters, generators, fire extinguishers, sprinklers, emergency lights and elevators, with a monthly building walk-through and a weekly generator run on their checklists.

charter and limo companies

Daily pre-trip checks for buses, vans and limos, including the wheelchair lift and ramp.

Service each vehicle by kilometres or days, whichever comes first, and keep a record of every inspection and repair.

farms and ranches

Tractors and equipment on their service intervals, with a record of every repair.

Tractors, combines, sprayers and farm trucks by hour meter, with a daily tractor check, a pre-harvest combine check, a pre-season sprayer check and off-season storage.

golf courses

Golf carts, mowers and utility vehicles on their service intervals, with a daily cart check and an irrigation pump station check.

Questions for your trade

Which inspection checklists does it start with?

Pick what you look after, such as a rental yard, trucks and trailers, buses, shop machines and forklifts, buildings, farm equipment or golf carts, and you start with checklists for it: a daily pre-trip, an aerial lift pre-start, a forklift daily check and so on. You can edit them or add your own.

Can I track buildings, not just vehicles and machines?

Yes. Add HVAC units, boilers, generators, fire extinguishers, sprinklers, emergency lights and elevators as equipment, each with its own inspection checklist and service interval.
