What you need
- This month's owner statement export from AppFolio, Buildium or Rent Manager (CSV or Excel), or our CSV template
- Receipts and invoices for the month's expenses (PDF or photos), ideally in one zip file
- Each owner's email address
1. Brand your owner portal
Upload your logo and colours during signup, or later under Settings → Branding.
Your portal is live straight away at yourname.nvisin.app. To use your own address, such as owners.yourcompany.com, follow Connect your custom domain. It takes one DNS record, and we handle the SSL certificate.
2. Set the rules
Under Settings, set the default approval limit (expenses above it are flagged for the owner), how many days late rent must be before it's flagged, and the day statements are due. Each owner can have their own approval limit.
3. Upload the month
Export the owner statement report for the whole portfolio from your property management software and drop it on Upload, along with the receipts. Your software stays the system of record, so nothing is recalculated. We show the figures you've already reconciled.
4. Match properties to owners
The first time, each property is matched to its owner. Check the matches and fix any that are wrong. They're remembered every month after. An owner with several properties gets one statement across all of them.
5. Review flags and attach receipts
Late rent, vacancies and expenses over the owner's approval limit are flagged at the top of each statement. Add a note to each, such as "Payment plan agreed, remaining $425 by Oct 15". Attach the invoice or photo to any expense line.
6. Send to owners
Invite each owner, plus any co-owner or their accountant, under Owners. When the month is reconciled, click Send. Owners get an email from your company's name and sign in on your domain.
Common questions
Does this replace our property management software?
No. It's the branded place owners read what you've already reconciled. Trust accounting stays in your software.
Can an owner see only some properties?
Yes. You can limit each person to specific properties.
