What you need
- Admin access to your client's QuickBooks Online or Xero file, or the numbers in our Excel template
- Your logo (PNG, SVG or JPG) and brand colours
- About 15 minutes for the first client. After that, it's a few minutes each month.
1. Brand your portal
During signup you upload your logo, and we pull your colours from it. You can change the logo, colours and font any time under Settings → Branding.
Your portal is live straight away at yourname.nvisin.app. To use your own address, such as reports.yourfirm.com, follow Connect your custom domain. It takes one DNS record, and we handle the SSL certificate.
2. Export the month from QuickBooks Online or Xero
You need two reports, both on an accrual basis with one column per month. Include at least 24 months, so every year-over-year and trailing-twelve-month figure can be calculated.
QuickBooks Online
- Go to Reports → Profit and Loss.
- Set the report period to cover the last 24 months, set Display columns by to Months and the accounting method to Accrual, then click Run report.
- Click Export → Export to Excel.
- Repeat with Reports → Balance Sheet, using the same months and columns.
Xero
- Go to Accounting → Reports → Profit and Loss.
- Choose the latest month, then compare with the previous 23 months, one column per month. Make sure the report is on an accrual basis.
- Click Export → Excel. Repeat for the Balance Sheet.
3. Upload and check the mapping
Open the client, then drop both files on the Upload panel. The first time, each account is matched to a review section (Revenue, Cost of sales, Operating expenses and so on), using account numbers and types where possible. Check the suggestions and fix any that are wrong. The mapping is saved for that client and reused every month.
4. Set the thresholds and review the flags
A line is flagged when it moves by more than your materiality amount and your variance % compared with last month. The defaults are $2,500 and 20%. Change them per client under the client's Settings. Our guide Materiality and variance thresholds explains how to choose them.
5. Add notes
Click any flagged line and write a sentence or two: what happened, whether it's a one-off, and what to expect next month. Your note appears beside the number in the client's portal. You can also add general commentary for the month.
6. Invite your client and publish
Under Users, invite the people at the client who should see the review. They receive an invitation from your firm's name and sign in on your domain. When the close is final, click Publish. Clients only ever see published months, and every past month stays in their archive.
Common questions
My totals don't match QuickBooks.
Check that both exports used the accrual basis and the same months, and that no accounts are left in Unmapped accounts.
Can I hide a section from one client?
Yes. Under the client's Settings → Sections, turn sections on or off for that client only.
A prior month was restated.
Upload the new exports. Balances are updated month by month, and months you've already published keep the version the client saw.
