Getting started with Branded Invoices

Set up Branded Invoices: defaults and tax, online payments through your Stripe account, recurring invoices and reminders, and export to QuickBooks or Xero.

What you need

  • Your tax registration details (for example your GST/HST number) and the tax rates you charge
  • A Stripe account in your own name, if you want clients to pay online
  • Your client list, or add clients as you go

1. Brand your billing portal

Upload your logo and colours during signup, or later under Settings → Branding.

Your portal is live straight away at yourname.nvisin.app. To use your own address, such as billing.yourfirm.com, follow Connect your custom domain. It takes one DNS record, and we handle the SSL certificate.

2. Set your invoice defaults

Under Settings, choose your invoice number prefix (for example INV-), default payment terms (due on receipt, net 15 or net 30) and your default tax. Map each tax rate once to the matching tax code in QuickBooks Online or Xero, so exports land correctly.

3. Turn on online payments

Connect your own Stripe account under Settings → Online payments. Clients can then pay by card or bank transfer, and the money goes straight to you.

4. Create and send an invoice

Click New invoice, pick the client and add lines. Tax and totals are calculated for you. Send it, and the client gets an email from your domain with a link to view and pay. Set up recurring invoices for retainers, and turn on reminders before and after the due date.

5. Export to your books

Under Export, download the month's invoices as a CSV in QuickBooks Online's or Xero's invoice import format, then import it there. Nothing needs retyping, and each invoice is marked as exported so it's never imported twice.

Common questions

Do you hold the payments?

No. Payments go through your own Stripe account, straight to you.

Can accounting firms use it alongside Monthly Review?

Yes. Added as a second accounting tool, it's half price and appears in the same client portal.
