Getting started with Client Inventory Portal

Upload a stock file from your warehouse system, then send each customer a link or a sign-in so they see only their own stock, shipments and orders under your name.

In 15 minutes, one of your customers will be able to open their own page and see their stock, with anything low or out of stock at the top, under your company's name.

What you need

  • A stock list for your customers, saved as a CSV file, with an item code (SKU) and the quantity on hand for each item. Most warehouse systems can export this, and a spreadsheet works too.
  • The email address you signed up with
  • The email of one person at a customer, or just a way to send them a link

Your first 15 minutes

Five steps, in this order. Each takes a few minutes. The tool shows steps 2 to 5 as a short welcome the first time you sign in.

1. Sign in

Go to stock.nvisin.app. The first time, click the link in your sign-in email. On Choose a password, type a password of at least 10 characters twice and click Save password and continue. Can't find the email? Click Forgot password, or first time here?, enter your Work email and click Email me a link to set my password. After that, sign in with your Work email and Password. The same sign-in works for every nvisin tool your company has, and app.nvisin.app lists them all.

2. Add your contact details

You'll see Welcome with a few short steps. In Add your contact details, check Your name on the portal, enter the Email for customers and, if you like, a Phone. For example: "Fernhill Storage", clients@fernhillstorage.com. Click Save and continue. These go at the top of every customer's page, so they know who to ask.

3. Pick the kind of warehouse work you do

Click the closest match, for example E-commerce fulfilment or Pallet storage and contract warehousing. Pick Something else to start plain. This fills in when stock counts as low, how many days of orders and deliveries customers see, your word for units, and a welcome message. You can change all of it later in Settings.

4. Upload your first stock file

Click Upload a stock file. Not sure what the file should look like? Click Download a template. If your list is in Excel, use File → Save As and pick CSV first. Choose the file and check the Stock as of date. Under Match the columns, check the columns we matched. Only SKU and On hand are required, and your choices are remembered for next time. Under Whose is it, pick the customer under The file is for, or click add one to type a new name, such as "Larkfield Tea Co.". If your file has a customer column, each new name becomes a customer for you. Click Import stock on hand, then click Today in the sidebar to carry on.

5. Send a customer their inventory link

Back on Welcome, open Send a customer their inventory link. Pick the Customer, type Their email and click Email them an invite. They get an email to set a password at stock.nvisin.app/c/, and they only ever see their own stock. Or click Turn on their link instead: you go to the customer's page, see exactly What Larkfield Tea Co. sees, and click Copy to send the link yourself. Anyone with that link can look without signing in. That's it: your customer can now see their stock.

Reference

Uploading again

Upload a fresh stock list whenever your counts change. Daily works well. Always upload the full list for each customer: an item missing from the file goes to 0. Today shows what's low or out of stock, late or arriving deliveries, and your latest files. It warns you when the stock list is more than two days old. A file can have up to 20,000 rows and 25 MB.

Inbound shipments and orders shipped

On Upload, choose Inbound shipments (deliveries you're expecting in) or Orders shipped. Inbound needs a shipment or purchase order number on each row. Quantities, dates and carrier are optional. Orders need an order number. Ship to, ship date, carrier, service, tracking number and units are optional. Uploading again updates each one by its number and removes nothing else. On Inbound, click Close on a delivery that won't come, and your customer stops seeing it. Reopen brings it back.

Low stock levels

Your company's level is Low stock at under Settings → What your customers see (0 means never flag). To give one customer their own level, open them on Customers and click Edit. For a single item, click it on Stock and set Reorder at.

What your customers see

Under Settings (the gear icon), What your customers see sets your name, contact email and phone, the message at the top, your word for units, and how many days of orders and received deliveries to show. Your logo and colours are under Your logo and Look. Customers can search their stock and click Download CSV, but they can't change anything.

Links and sign-ins for your customers

Open a customer on Customers. Under Their link, Open shows the page, "last opened" tells you they've looked, and New link replaces the link (the old one stops working straight away). Turn off removes the link, but sign-ins keep working. Under Who can sign in, use Invite to add people, or ✕ to remove one. Untick Active under Edit to stop a customer's link and sign-ins at once.

Your team

Add your own staff under Settings → Users. Staff can upload and edit, View only can only look, and an Owner can also change Settings and manage users. Change your password under My password. Your team already sees every customer, so they can't also be invited as a customer.

Plan limits and when the plan ends

The Standard plan includes up to 20 customers and 3 team users. New customers past the limit are left out of an upload, and the tool tells you which ones. If the plan ends, you can still sign in and see everything, but not change anything, and your customers can still look at their stock. An owner restarts it under Settings → Plan & billing.

Common questions

Why are some of my customer's items showing 0?

A stock upload replaces that customer's whole list, so any item not in the file goes to 0. Upload the full list each time, not just the changes.

Why can't I click the Import button?

Either a required column isn't matched (a red note says which one), or your file has no customer column and nobody is picked under The file is for.

Where did the welcome steps go?

They close once a customer can see their inventory. Everything they set is still in Settings, and you can share with more customers from Customers.

Can I try it with made-up data first?

Yes. Click Try the live demo on the tool page. Changes stay in your browser, and Start over resets it.
