What you need
- Your commercial client list in a spreadsheet: business name, contact name, email, phone and address
- For the clients who ask most: the policies that go on certificates (line, insurer, policy number, period and limits)
- The holders they need certificates for often: landlords, general contractors, cities, stratas and lenders
- Who signs your certificates (the authorised representative) and your disclaimer, if it differs from the standard one
1. Sign in and check your settings
Sign in at certs.nvisin.app with the email you signed up with. Open Settings (the gear) to upload your logo and add your brokerage details, the authorised representative, the disclaimer printed on every certificate, the number prefix (CR-2026-0001 to start) and the message clients see on their link. Invite your team under Users.
2. Add your clients, their policies and holders
On Clients, click Paste a list and paste rows from your spreadsheet, one client per line: business name, contact name, email, phone, address. Open a client to add the policies on certificates with their limits (for example Each occurrence $2,000,000), and their saved holders. Tick Additional insured or add standing wording on a holder only once you've checked the endorsement is on the policy: what a saved holder has stays routine.
3. Send each client their link
On a client's page, copy their request link or click Email it. The client opens it on their phone with no account, picks a saved holder or adds someone new, says what the certificate is for and when they need it, ticks what their contract asks for (additional insured, waiver of subrogation, 30 days' notice) and can attach the contract's insurance clause.
4. Review and issue
Requests wait on Today and Requests, marked Routine (a saved holder or a plain new one, nothing extra, every policy in force when it's needed) or Needs a person with the reasons listed. Open one, check the holder, description, provisions and which policies show, then Issue certificate, or Decline with a reason the client sees. The certificate shows up on the client's link right away; print it, save it as a PDF or Email it to the holder. To skip the click for routine requests, turn on Issue routine requests automatically in Settings.
5. Reissue at renewal
When a policy renews, click Renew on it and enter the new period. Every holder whose latest certificate still shows the old period appears under Reissue; click Reissue all to make new certificates for the new period in one go, then send them out.
Common questions
Why did a request need a person?
The reasons are listed on the request: something the saved holder doesn't already have (additional insured, a waiver, 30 days' notice or other wording), an attached contract, or a policy that isn't in force or ends soon on the date it's needed.
A certificate went out with a mistake. What do I do?
An owner can Void it with a reason (it stays in the log, marked void), then issue a new one from the client's page.
A link was sent to the wrong person. What do I do?
Click New link on the client's page. The old link stops working at once.
