Getting started with 13-Week Cash Forecast

Set up a client's rolling 13-week cash forecast: weekly bank balances and AR/AP agings, recurring payments, minimum cash, scenarios and weekly updates.

What you need

  • The client's current bank balances
  • Their Aged Receivables Detail and Aged Payables Detail from QuickBooks Online or Xero, or our Excel template
  • A list of their regular payments: payroll, rent, loan payments and tax remittances

1. Brand your portal

Upload your logo and colours during signup, or later under Settings → Branding.

Your portal is live straight away at yourname.nvisin.app. To use your own address, such as reports.yourfirm.com, follow Connect your custom domain. It takes one DNS record, and we handle the SSL certificate.

2. Add the client and their minimum cash

Create the client and set their minimum cash, the balance they never want to drop below. Any week forecast below it is flagged on their chart and on your client list.

3. Set up recurring items once

Under Recurring items, add payroll, rent, loans and tax remittances with their amounts and schedule. They repeat automatically in every forecast.

4. Upload the week

Each week, upload the bank balances and the AR and AP aging reports. Collections are placed using each invoice's due date and the customer's usual days late, and bills by their due dates. The forecast then rolls forward: the week that just ended becomes actual, and a new week 13 is added.

5. Explain what changed

Under Forecast vs actual, last week's forecast is compared with what happened. Differences of $500 or more are flagged. Add a note on each, for example "Customer paid late, now expected Oct 23".

6. Build scenarios

Add what-ifs such as "customers pay two weeks late" or "finance the new vehicle". Clients can switch between the scenarios you build, but only your team can change the numbers.

7. Publish the update

Click Publish and the client sees the new forecast on your domain. If they also use Monthly Review, both appear in the same portal under one login.

Common questions

Which day should I update?

Pick one update day per week in Settings, such as Monday, and keep to it, so forecast-versus-actual compares like with like.

Can clients edit the forecast?

No. They can switch scenarios and read your notes, but the numbers are yours.
