What you need
- Your client list in a spreadsheet or an export: business name, contact name, email and phone
- The renewals coming up in the next four months: effective date, account manager, and each line renewing with its current insurer and expiring premium
- The information you usually ask clients for at renewal (payroll, vehicles, property values, loss runs and so on)
1. Sign in and set your timeline
Sign in at renewals.nvisin.app with the email you signed up with. Open Settings (the gear) to upload your logo and add your brokerage's details. The Timeline starts as 120 days before renewal (kickoff: review the account and send the information request), 90 (information due from the client), 60 (submissions out to markets), 30 (options presented), 14 (decision and bind) and 0 (policies in force and certificates reissued). Change the days, rename the steps or add your own, and write what the client's page says about each one. Then check the information list, your lines of business, your markets, the disclaimer for the options summary, and when quotes and unbound renewals are flagged. Invite your team under Users.
2. Add your clients
On Clients, click Paste a list and paste rows from your spreadsheet, one client per line: business name, contact name, email, phone, address. Or add them one at a time.
3. Add the renewals coming up
Click Add a renewal: pick the client, the renewal date and the account manager, add the lines renewing with their current insurer and expiring premium, and tick what to ask the client for. Each renewal gets its own timeline counted back from its date, and its own information request, due by the "information due" milestone unless you give an item its own date. Tick milestones as you go; any past their date show as overdue.
4. Send the client their link
On the renewal, copy the client link or click Email it, which opens your email with a message listing what's still outstanding. The client opens the link on their phone with no account and sees your logo, the renewal date, what happens when and what you still need. They type an answer or upload a file (a PDF, a photo or a spreadsheet) for each item. Answers wait under Waiting for your review on Today: Accept them, or Ask again with a note the client sees on their link.
5. Track the quotes and present the options
Under Quotes by line, add a market to each line and move it along: to submit, submitted, quoted, declined, presented, bound, with the premium and notes. Star the option you recommend. A market that hasn't answered in 10 days shows on Today, and so does any renewal close to its date that isn't bound. When it's time to present, open the Renewal options summary and print it or save it as a PDF with your logo. Once it's bound, Start next year's renewal carries the client and lines forward, with this year's bound premiums as next year's expiring ones.
Common questions
How is the stage worked out?
From the milestones you tick and the quotes: gathering info once the kickoff is done, with markets once anything is submitted, options presented once a quote is presented, bound when every line has a bound quote, and in force once the date has come.
A link was sent to the wrong person. What do I do?
Click New link on the renewal. The old link stops working at once.
