Getting started with Proof of Delivery

Get your first delivery signed for in 15 minutes: pick what you deliver, add a driver, add a stop and text the driver their phone link. Customers get a tracking link with the proof.

In 15 minutes you'll have a driver with their own phone link, a stop on their run, and your first delivery signed for, with a photo from the door and a tracking link for your customer.

What you need

  • A driver's name and mobile number (it can be you, to try it)
  • One real delivery for today: who it's for and the address
  • A phone with a camera to open the driver's link

Your first 15 minutes

Five steps, in this order. Each takes a few minutes. After you sign in, the Welcome page walks you through steps 2 to 5 one at a time and saves as you go.

1. Sign in

Go to pod.nvisin.app. The first time, click Forgot password, or first time here?, type your work email and click Email me a link to set my password. Open the link in the email, choose a password (at least 10 characters) and click Save password and continue. After that, sign in with your Work email and Password. The same sign-in works for every nvisin tool your company has, and All your nvisin tools at the bottom of the menu lists them at app.nvisin.app.

2. Pick what you deliver

On the Welcome page, under Pick what you deliver, click the closest match, for example Parcels & same-day courier. It sets what drivers must capture at the door and the reasons they can pick when a delivery fails. You can change all of it later in Settings (the gear), under At the door.

3. Add your first driver

Under Add your first driver, type their Name and Mobile, then click Add driver and continue. Each driver gets their own link to open on their phone. There's no app to install and no password, and it only shows the stops you give them.

4. Add the day's stops

Under Add the day's stops, fill in Deliver to (for example "Fernhill Music School"), the Address, the Town or city and the Postal or ZIP code. Leave Day on today for this first one: a driver's link only shows today's stops. Check the Driver and click Add stop and continue. Have a whole run in a spreadsheet? Click Import a CSV instead (see Importing a spreadsheet below).

5. Get your first delivery signed for

Under Get your first delivery signed for, click Copy next to the driver's link and text it to them, or click Open to see it yourself. At the stop, the driver taps At the door and Delivered. Then they either type the name and get a signature (Handed to someone) or pick where they left it (Left it safely), take the photo, and tap Save delivery. Back in the office, click Check for deliveries. You'll see You're all set. Click Go to Today, click the stop, and next to Tracking link click Copy to send your customer the proof.

Reference

Each day after that

Today shows the day's stops by driver: what's delivered, what's still out and what has no driver yet. Use the arrows or the date box to plan another day. Click Add stop for one delivery or Import CSV for a list. A stop not done on its day stays on the list marked Late until it's recorded.

Importing a spreadsheet

In your spreadsheet, use File → Save as and pick CSV. Click Import CSV and choose the file. Set the Day to use when the file has no date column. You'll see the first rows, with a menu above each column saying what it is. Fix any that are wrong, then click Save. Each row needs at least a name, an address or a reference. A reference that's already on file is skipped, so importing the same file twice is safe. A file can be up to 2 MB and 500 stops. A Driver column only works when the name matches a driver under Drivers exactly.

Giving stops to drivers

Stops with no driver show under Not assigned. Tick the box next to each one. A bar appears at the bottom of the screen. Pick the driver in Give to… and click Move. The same bar moves stops to another day. To put a driver's run in order, click Set order on their list and number the stops.

Driver links

Add more drivers under Drivers with Add driver. Each card shows the driver's link and when they last opened it. If a phone is lost, click New link and the old one stops working right away. Text them the new one. When someone leaves, click Edit and untick Active (their link works). An owner can also Remove them, and their stops stay, with nobody assigned.

What drivers must capture

In Settings, under At the door, choose whether a signature is needed when it's handed to someone and whether drivers can leave it in a safe place. You can also choose how many photos each delivery needs and the reasons a driver can pick when it couldn't be delivered (one per line). Click Save settings. Only owners can change these.

What customers see

In Settings, under On the tracking page and proof, add the business name, phone and email customers see, and a short intro. Once a stop is done, its tracking page shows the time, who took it or where it was left, the signature and the photos, with a Save as PDF button. Your Office notes on a stop are never shown to the driver or the customer.

Customers looking up a delivery themselves

With the lookup setting on, customers can find a delivery by its reference and postal code. In Settings, under Lookup on your website, copy the Tracking page link and put it in your emails or on your website. If someone looks after your website, send them the code under Copy the form so they can add a lookup box.

When a delivery fails

The driver taps Couldn't deliver, picks a reason and taps Save: not delivered. Open the stop and click Send out again to put it on another day's run.

Finding an old delivery

Click Find a delivery and search by reference, name, shipper, street or postal code.

Your team, logo and look

In Settings, owners invite people under Users. Staff can add and edit. View only can just look. Owners can also manage users and settings. Upload your logo under Your logo, and pick your colours under Look. Change your own password under My password.

When the plan ends

You can still sign in and see everything, but not change anything. Drivers can't record deliveries either. An owner restarts it under Settings → Plan & billing.

Common questions

Why does my driver's link show no stops?

A driver's link only shows today's stops and earlier ones not yet done. Check the stop is on today and given to that driver, then ask them to tap Check again.

Can a delivery be changed after it's recorded?

Once a stop is delivered or marked not delivered, its reference, recipient, address and driver are locked, so the proof can't be changed. An owner can delete the stop with its proof, but that can't be undone.

What if a driver's phone dies or has no signal?

With no signal, the driver sees a message and saves again once they have one. If the phone isn't working, open the stop and click Record by hand. It's marked as recorded by the office, with no signature or photos.
