Getting started with Client Policy Portal

Set up Client Policy Portal: your brokerage, your commercial clients, their policies and coverages, the documents they see and each client's private link.

What you need

  • Your commercial client list in a spreadsheet or an export from your management system: business name, contact, email, phone, address and account manager
  • For each client, their policies: line of business, insurer, policy number, dates, premium, and the coverages with limits and deductibles (the declarations pages have all of it)
  • The documents you want clients to have: policy wordings, declarations, certificates

1. Sign in and check your settings

Sign in at policies.nvisin.app with the email you signed up with. Open Settings (the gear) to upload your logo and add your brokerage's name, phone, email and address, the message at the top of every client's page, the disclaimer printed on summaries ("the policy wordings govern"), how many days ahead "renewing soon" starts (60 to start) and your lines of business. Invite your team under Users.

2. Add your clients

On Clients, click Paste a list and paste rows from your spreadsheet, one client per line: business name, contact name, email, phone, address, account manager. Or add them one at a time. The account manager's name, email and phone are shown to the client on their page.

3. Add their policies

Open a client and click Add a policy: line of business, insurer, policy number, effective and expiry dates, annual premium, taxes and fees, billing and payment schedule. Under Coverages, add a row for each coverage with its limit and deductible, or click Fill in the usual ones to start the rows for that line. Limits can be numbers or words ("Statutory", "12 months").

4. Add documents

Under Documents on the client's page, add policy wordings, declarations, certificates, invoices and endorsements (PDF or pictures, 15 MB at most), on a policy or for the client in general. Tick Shown to the client for the ones they should see; the others stay with your team. Invoices start as staff only.

5. Send each client their link

On a client's page, copy their link or click Email it, which opens your email with a friendly message. The client opens it with no account and sees their coverage at a glance: total annual premium, every policy in force with its limits and deductibles, their documents and their account manager. They can tell you what changed (a new location, vehicle or employees) from the same page; it waits on Today until you mark it done.

6. Stay ahead of renewals

Today shows renewals in the next 60 days, policies that expired without a renewal, client messages and clients who have never opened their link. On a policy that's renewing soon, click Renew to add the next term with the same coverages. For a meeting, open Summary of insurance on the client's page and print it or save it as a PDF.

Common questions

What does a client see?

Only their own policies in force (and renewals starting soon), and only the documents you marked as shown. Never your notes, invoices you keep for your team, or other clients.

A link was sent to the wrong person. What do I do?

Click New link on the client's page. The old link stops working at once.
